The pitch behind AI assistants is simple: hand the admin over to software and get that time back for the work you're actually paid to do. The question worth asking is whether that pitch holds up once you actually use one.
An AI assistant is software that automates the repetitive parts of a workday, learns your patterns over time, and keeps things moving without you having to babysit every step. That covers a wide range of tools, from voice assistants like Siri and Alexa through to workplace software such as Microsoft Copilot, Google Assistant, and ChatGPT.
For anyone below senior management, who was never going to get a human PA, this is the closest thing on offer. It won't get your coffee, but it will get through your inbox.
Scheduling
Tools like Microsoft Copilot, x.ai, and Google Calendar AI find a slot that works across several calendars without the usual email back-and-forth, sync across teams automatically, and chase people who've gone quiet on a reply.
Email
Copilot, Gmail Smart Compose, and Superhuman AI draft in something close to your own tone, surface the messages that need attention first, and suggest replies you can send in seconds instead of minutes.
Writing and editing
Grammarly, Jasper, ChatGPT, and Copilot proofread, tighten up long reports into something someone will read, and draft a first pass of routine content so you're editing rather than starting from a blank page.
Meetings
Otter.ai, Fireflies.ai, Sembly, and Copilot transcribe as the meeting happens, pull out the decisions and action points afterwards, and plug straight into Zoom, Teams, or Google Meet.
Task and project tracking
Trello AI, Asana AI, ClickUp AI, and Copilot assign work based on who has capacity, chase deadlines automatically, and flag a bottleneck before it turns into a missed date.
Notice how often the same name appears across that list. Most standalone tools do one job well. Copilot's advantage is that it does several of them from inside the Microsoft 365 apps people already have open all day, so scheduling, drafting, summarising, and tracking work don't need five separate logins and five separate habits to build.
Some of it, yes, and the effect is real once a team is genuinely using the tools rather than just trialling them. Automating routine scheduling and first-draft emails does cut down the back-and-forth, and transcription tools genuinely save someone having to write up notes after every call.
Worth being honest about the other side too: independent research on AI productivity tools has found the time actually recovered is often more modest than the marketing suggests, sometimes closer to minutes a week than hours, particularly in the first few months while people are still working out where a tool fits into their routine. The gains tend to show up gradually, tied to how well a tool is adopted, not the moment it's switched on.
